Your privacy matters to us. This statement explains what data Remails B.V. collects, why we collect it, and what rights you have. If anything is unclear, just reach out — we’ll be happy to explain.

We comply with the General Data Protection Regulation (GDPR), which means we:

• We keep it safe

1. Contact Form & Email

If you contact us via form or email, we process:

• First name
• Last name
• Email address
• Any other information you provide

We do this to answer your request. We keep this data until we’re sure you’re satisfied, plus 12 months for follow-up.

2. Using Our Service

We provide a SaaS platform for transactional email delivery. You can sign up for:

• Free plan – 3,000 emails/month
• Paid plans

When you sign up for our service, we process:

• First name
• Last name
• Email address
• Invoice address
• Account details

We use this to provide the service, send invoices, and manage your account. We keep it as long as needed for our agreement and at least 2 years after the last invoice (some financial data longer, if required by law).

3. Newsletter

If you subscribe, we use your:

• First name
• Last name
• Email address

We send updates about our products and services until you unsubscribe (link in every email). We delete your data within 1 month after unsubscribing.

4. Sharing with Third Parties

We only share your data when:

• Needed to provide our service
• Required by law
• You have given consent
• We have a legitimate interest

Categories of recipients:

• IT service provider(s)
• Payment provider

Some may be outside the EEA, but only with GDPR safeguards (adequacy decision or EU Standard Clauses).

5. Security

We protect your data with measures like encryption, access controls, and staff confidentiality. Full details are in Appendix 15C of our General Terms & Conditions.

6. Your rights:

You stay in control of your data. You can ask us to:

• Show you what data we have about you
• Correct mistakes
• Delete your data (“right to be forgotten”)
• Limit how we use it
• Give you a copy of your data in a portable format, so you can move it to another provider
• Withdraw your consent
• Stop using your data for marketing or other processing

We may ask you to confirm your identity first. We’ll respond within 1 month (or up to 3 months if the request is complex).
